The role will be based in London and report into the Portfolio Director within the Investments team. The Loan Administration Officer will be responsible for performing various pipeline and portfolio middle- and back-office activities within GuarantCo, including updating GuarantCo’s internal Pipeline and Portfolio Management System called Trade Manager (TM) as applicable.

The Loan Administration Officer will support the Investments Team from Pipeline stage and during the full life of the transaction until maturity. They will require an analytical mindset, ability to problem-solve and robust attention to detail. A process-orientation to their work, and the ability to work under pressure to tight timeframes will also be essential as they will be a key part of the GuarantCo team to ensure various critical transaction-related activities are performed well and that TM is maintained regularly with accurate pipeline/portfolio information that can be relied upon for statutory reporting and for reporting to key internal and external stakeholders (internal, rating agencies, clients, auditors, etc).


GuarantCo Limited (GuarantCo) mobilises private sector local currency investment for infrastructure projects and supports the development of financial markets in lower income countries across Africa and Asia. GuarantCo is part of the Private Infrastructure Development Group (PIDG) and is funded by the governments of the United Kingdom, Switzerland, Australia and Sweden, through the PIDG Trust, and the Netherlands, through FMO, the Dutch Development Bank and the PIDG Trust.


GuarantCo is rated AA- by Fitch and A1 by Moody’s. The company’s vision is to become a centre of excellence for local currency credit solutions for infrastructure finance in lower income countries thereby assisting with the alleviation of poverty.


GuarantCo’s funds, through the GuarantCo Management Company (GMC), is managed by Cardano Development, a Dutch foundation with charitable status. GMC provides management, advisory and support services to GuarantCo and is head-quartered in the City of London, with regional hubs in Nairobi and Singapore. The GMC team is small, diverse, focused, collaborative and action orientated. The main responsibilities of the Loan Administration Officer are:


Facility Administration


  • Work closely with the transaction teams to enter new transactions onto TM from when the Non-Disclosure Agreement has been signed. Ensure that all information about the transaction is kept up to date on a timely basis, liaising with them throughout all stages of the transaction approval process. Review the accuracy of the data regularly.
  • Work with the Investments and Finance teams for the handover at transaction financial close to ensure smooth and adequate handover and system setup, and to identify and plan for key post-financial close implications and responsibilities.
  • Become a TM expert within GuarantCo in relation to all aspects related to pipeline or portfolio management.
  • Liaise with the TM service provider as required, in close coordination with Finance where necessary.
  • Update TM with any approved changes to the transaction as it goes through the approval process and enters the portfolio, including moving the transaction to the next stage of the approval process and updating changes to risk metrics ensuring the appropriate approvals have been given to do so.
  • Act as a third-party reviewer during handover of transactions at Financial Close support deal teams to ensure TM is properly and accurately set up, including transaction cash flows, risk metrics, fees, covenants and contact details.   This includes assisting the transaction teams and Finance when considering invoicing or tax implications.
  • Ensure that all approved changes to transactions in TM are actioned on a timely basis following either Credit Committee or Portfolio Committee.
  • At each stage of the transaction lifecycle, upload all documents onto TM as instructed by the Investments team, ensuring that the final versions of all documents are saved there.
  • Assist deal teams in uploading and understanding the cashflows of a transaction to allow for the transaction to be included within the general ledger and for accurate sales invoicing to be undertaken.
  • Enter and understand all covenants for a transaction, and upload all covenant information received by clients.
  • Maintain a robust Trade Manager data input quality process and ensure compliance with this process by all team members across the cycle.
  • Gather input from TM users across the Investments team to drive improvements to the system.
  • Attend and contribute to TM development calls led by Finance with the system developer to stay well informed, and shape developments to the system.
  • Point of contact for collating internal and external auditor requests that require TM touch points related to Investments.
  • Provide support on solving legacy issues on deals already saved in TM
  • Support periodic TM issues and feedback processes that require attention from time to time.
  • Identify, drive, and take ownership of opportunities to improve work practices and increase productivity.
  • Contribute to ensuring lessons learned are identified, implemented and shared across the business.
  • Any other duties as may be required.



Reporting and analysis


  • Prepare the following reports:
    • Pre month-end check report for the Investments team
    • Portfolio level reporting
    • Any other regular or ad-hoc reports that may be required
  • Assist with the monthly PC submission cycle.
  • Assist in managing, coordinating, or executing ad hoc or periodic requests from within GuarantCo and PIDG.
  • Assisting in preparing ad hoc PC or ExCo requests that either cover the whole portfolio or fall outside individual transactions.
  • Liaise with Finance with regards to the reporting of pipeline and portfolio using data from TM. Support Finance in reconciling the system data reported to GuarantCo’s external stakeholders based on information provided by the role holder.
  • Any other duties as may be required.

Background, experience and skills


  • Previous experience in a similar role strongly preferred but not essential.
  • Knowledge and experience of loan documentation would be advantageous.
  • Ability to use databases and enter data in an accurate and timely manner.
  • Ability to meet deadlines in a fast-paced environment.
  • Excellent communication skills both written and verbal to ensure that successful working relationships are established and maintained.
  • Applies reasoning and rationale to everyday tasks demonstrating ability to resolve problems quickly and effectively.
  • Strong IT skills – in particular MS Excel.
  • Excellent attention to detail and motivation to perform the role to the highest standard.
  • Comfortable with numbers.
  • Experience of using data to create regular and bespoke reports and dashboards.
  • Demonstrable administration experience with a can-do attitude is important.
